Legal review required before publication. This policy describes Academbee’s commercial cancellation, downgrade, upgrade, failed-payment, and no-discretionary-refund rules. It does not limit any mandatory statutory rights that cannot lawfully be excluded.


1. Who we are

Converging Realities Ltd (“Academbee”, “we”, “us”) provides an online platform for teachers and schools.

2. Scope of this policy

This policy applies to paid annual Academbee subscription plans, including:

Plan Description
Teacher annual plan Paid teacher account with paid features available under the current product specification.
School annual plan Paid school account with paid features available under the current product specification.
Sponsored or promotional plans Plans paid for, subsidised, or manually enabled by Academbee or a third party, where applicable.

This policy covers:

  • cancelling renewal of a paid plan;
  • downgrading from school to teacher;
  • upgrading from teacher to school;
  • failed payment and grace periods;
  • the commercial no-discretionary-refund rule;
  • the effect of cancellation on paid features, free-tier access, and public visibility;
  • statutory rights that may apply to consumers in certain jurisdictions.

This policy should be read together with Academbee’s Terms of service, Subscription and auto-renewal terms, and Privacy policy.


3. Summary

4. Key definitions

Annual subscription means a paid Academbee plan that runs for twelve (12) months from the subscription start date or renewal date.

Current annual period means the paid subscription period already purchased.

Cancel paid plan means stopping the next automatic renewal. It does not immediately remove paid features during the already-paid annual period.

Downgrade means changing from a school plan to a teacher plan, effective from the next renewal unless Academbee confirms otherwise.

Upgrade means changing from a teacher plan to a school plan during the current annual period.

Free-tier in-app access means access to the customer dashboard with the same restrictions as other registered free users. Paid-only sections may be locked or show upgrade prompts.

Delisted means the profile is removed from student-facing search results, listing pages, map results, and discovery features.

No public profile means the public teacher or school profile URL is no longer accessible to end-users.

Discretionary refund means a refund, partial refund, account credit, goodwill credit, manual compensation, or unused-time refund that Academbee is not legally required to provide.

Statutory rights means mandatory legal rights that cannot lawfully be excluded or limited by this policy.


5. Cancelling a paid plan

You may cancel your paid plan so that it does not renew at the end of the current annual period.

Cancelling a paid plan means:

  • automatic renewal stops;
  • no further renewal charge is taken for that subscription after the current annual period ends;
  • you keep paid features until the last day of the current annual period;
  • you do not receive a discretionary refund for unused months;
  • your account changes to free-tier access after the paid period ends.

Cancellation does not normally end paid access immediately. It schedules the subscription to end at the expiry of the current annual period.


6. How to cancel a paid plan

You may cancel a paid plan through:

If cancellation is requested through support, we may need to verify that the request comes from the account owner, billing contact, or another authorised person.

After successful cancellation, Academbee sends a cancellation confirmation email showing:

  • the plan being cancelled;
  • the end date of the current annual period;
  • confirmation that automatic renewal has been stopped;
  • confirmation that paid features continue until the end date;
  • a reminder that no discretionary refund is provided for unused subscription time.

7. Access after cancellation

After cancellation, paid features remain active until the end of the current annual period.

During the remaining paid period:

  • the account keeps the paid plan status;
  • paid dashboard features remain available;
  • the public profile remains visible if the account otherwise meets publication, verification, and policy requirements;
  • student-facing visibility continues unless the profile is unpublished, suspended, restricted, or otherwise removed under Academbee’s policies.

After the current annual period ends:

  • the account becomes a free teacher or free school account, matching the account profile type;
  • the customer dashboard remains accessible as a registered free user;
  • paid-only sections may show locked states, upgrade prompts, or reduced functionality;
  • the public profile is removed from student-facing search and discovery;
  • the public profile URL is not accessible to end-users;
  • paid messaging, listing, visibility, or promotional benefits stop unless included in the free tier.

8. No discretionary refunds for cancellation

Academbee does not provide discretionary refunds, partial refunds, credits, or unused-time compensation when a paid annual plan is cancelled.

This means:

  • cancelling after purchase does not create a refund for unused months;
  • cancelling after renewal does not create a refund for the remaining year, except where mandatory law requires otherwise;
  • not using the platform does not create a refund right;
  • reduced usage, seasonal usage, or business closure does not create a refund right;
  • delisting after the paid period ends does not create a refund right;
  • downgrading from school to teacher does not create a refund or credit for the school-tier period already purchased.

This commercial policy is subject to mandatory statutory rights that cannot lawfully be excluded.


9. Statutory withdrawal and consumer rights

Some customers may have mandatory cancellation, withdrawal, refund, or cooling-off rights under applicable consumer laws.

This policy does not exclude, restrict, or override any mandatory statutory right that applies to you.

Where mandatory law gives you a right to withdraw from or cancel a contract within a statutory period, Academbee will handle the request in accordance with applicable law.

Whether a statutory right applies may depend on factors such as:

  • your country or province;
  • whether you are acting as a consumer, sole trader, professional, school, company, or organisation;
  • whether the subscription was purchased online;
  • whether the service started immediately with your consent;
  • whether paid digital services or paid platform access were already provided;
  • whether any local law creates non-waivable rights.

  • whether you are purchasing as a consumer, teacher, company, school, or organisation;
  • the reason you believe a statutory right applies.

Academbee may request further information to verify and process the request.


10. EU consumer withdrawal function

Where required by EU consumer law, Academbee will provide an electronic withdrawal function for eligible online consumer contracts.

This function is separate from ordinary subscription cancellation.

The withdrawal function is intended for statutory withdrawal requests made during an applicable legal withdrawal period. It is not a general refund request form and does not create refund rights beyond those required by law.

The withdrawal function should allow the customer to:

  • identify the account or subscription;
  • confirm the contract or subscription they wish to withdraw from;
  • submit the withdrawal request electronically;
  • receive an acknowledgement on a durable medium, such as email.

Withdrawal confirmation email should include:

  • customer name or account identifier;
  • subscription or contract being withdrawn from;
  • date and time of submission;
  • confirmation that Academbee received the request;
  • explanation that the request will be assessed under applicable statutory rules.

Final approval, rejection, refund, partial refund, or account adjustment should be handled under a legally reviewed internal process.


11. Difference between cancellation and withdrawal

Cancellation and statutory withdrawal are different.

Action Meaning
Cancel paid plan Stops the next renewal. Paid access continues until the end of the current annual period. No discretionary refund applies.
Statutory withdrawal A legal right that may allow an eligible consumer to withdraw from a contract within a mandatory period, subject to legal conditions and exceptions.
Refund request A request for money back. Academbee does not offer discretionary refunds, but will comply with mandatory legal refund obligations where applicable.
Account deletion A privacy/account action. It does not automatically create a refund right and is governed by the Privacy policy and applicable law.

12. Downgrading from school to teacher

A school plan may be downgraded to a teacher plan from the next renewal period.

Downgrading does not create a discretionary refund or account credit for the remaining school-plan time.

Before downgrading, the account must meet teacher-plan limits. In particular, the account must have no more than one location.

If the school account has more than one location, the customer must delete or deactivate extra locations before the downgrade can be scheduled.

After a downgrade is scheduled:

  • the account keeps school paid features until the end of the current annual period;
  • the next renewal will be charged at the teacher annual price;
  • school-only features will stop at the start of the teacher-plan period;
  • any school-only public visibility, listing, location, or management features may be removed or restricted.

Downgrade confirmation email:

  • current plan;
  • new plan from next renewal;
  • renewal date;
  • reminder that no discretionary refund or credit applies;
  • any required action, such as reducing locations to one.

13. Upgrading from teacher to school

A teacher account may upgrade to a school account during the current annual period.

Unless the account is sponsored or manually enabled by Academbee, the customer must pay the applicable pro-rated upgrade amount before school paid features apply.

After successful payment:

  • school paid features become available;
  • the account may access school-specific profile, listing, and location features;
  • the public profile may update according to the school plan, subject to publication, verification, and policy requirements.

Upgrade confirmation email:

  • previous plan;
  • new plan;
  • amount paid;
  • effective date;
  • renewal date;
  • next renewal price.

14. Failed renewal payments

If an annual renewal payment fails, Academbee may provide a 7-day grace period.

During the grace period:

  • paid access may remain active;
  • Academbee may retry payment;
  • the customer may be asked to update payment details;
  • reminders may be sent by email.

If the payment is not resolved before the grace period ends:

  • the account moves to free-tier in-app access;
  • paid-only features are locked or restricted;
  • the public profile is delisted;
  • the public profile URL is not accessible to end-users;
  • the account may be required to upgrade again before paid visibility or paid features are restored.

15. Admin and support refunds

Academbee does not provide a routine admin or support refund function.

This means:

  • there is no ordinary “issue refund” button in the Academbee admin platform;
  • support agents are not authorised to provide discretionary refunds;
  • unused-time refunds are not offered as a standard customer support remedy;
  • goodwill credits are not offered unless approved by authorised management;
  • refunds required by mandatory law must be handled through a separate legal or billing exception process.

Academbee may keep an internal audit trail for any legally required refund, statutory withdrawal, payment correction, duplicate-charge correction, or chargeback response.


16. Duplicate charges and billing errors

The no-discretionary-refund policy does not prevent Academbee from correcting genuine billing errors.

Examples may include:

  • duplicate charges caused by a technical error;
  • incorrect amount charged due to system misconfiguration;
  • payment taken after a confirmed cancellation where no renewal should have occurred;
  • a charge made to the wrong customer account.

Billing corrections are not discretionary refunds. They are corrections of payment errors.

To report a suspected billing error, contact:

Include:

  • account email;
  • invoice or payment reference;
  • payment date;
  • amount charged;
  • explanation of the suspected error.

17. Chargebacks and payment disputes

A chargeback or bank dispute is not Academbee’s refund process.

If you dispute a payment with your bank, card issuer, or payment provider, Academbee may submit evidence, including:

  • account creation records;
  • subscription acceptance records;
  • checkout records;
  • renewal notices, where applicable;
  • invoices;
  • usage records;
  • cancellation status;
  • applicable terms accepted at checkout;
  • relevant email confirmations.

Academbee may restrict billing changes while a chargeback or payment dispute is pending.

If a chargeback results in non-payment for an active paid subscription, Academbee may suspend paid features, delist the public profile, or move the account to free-tier access.


18. Account deletion and data

Cancelling a paid plan does not automatically delete your account.

After cancellation or expiry:

  • your customer account may remain available as a free account;
  • billing records may be retained where required for tax, accounting, legal, fraud prevention, or audit purposes;
  • public visibility may stop even though internal account access continues;
  • deletion requests are handled under the Privacy policy and applicable data protection law.

Deleting your account does not automatically create a refund right.

If you want to delete your account, use the available Danger zone account-deletion feature in your account settings. Customers use Profile settings → Danger zone and end users use Account settings → Danger zone where the feature is enabled.

Support may need to verify your identity before helping with an account-deletion request.


19. Public visibility after expiry

Paid public visibility is linked to an active paid plan, unless Academbee offers specific free-tier visibility or sponsored visibility.

When a paid plan expires or is not renewed:

  • the account is removed from student search results;
  • the account is removed from listing pages and map discovery where applicable;
  • the public profile URL is not accessible to end-users;
  • inbound student contact features are disabled unless available under the free tier;
  • the customer may still access the dashboard as a registered free user.

Academbee may continue to show limited internal account information to the account holder for account management, subscription history, billing records, and upgrade prompts.


20. Sponsored, free, trial, or promotional accounts

Academbee may offer sponsored, free, trial, discounted, or promotional access.

Unless stated otherwise in the relevant offer:

  • promotional access has no cash value;
  • unused promotional time is not refundable;
  • sponsored access does not create a refund right;
  • free trial periods may end automatically or convert to paid access only if the customer has been clearly informed and has provided the required payment authorisation;
  • Academbee may end or modify promotional offers prospectively.

Where mandatory law requires a different result, mandatory law prevails.


21. Business, school, and professional customers

Some Academbee customers may purchase as businesses, schools, organisations, sole traders, or professionals rather than as consumers.

Consumer withdrawal rights may not apply to all business, school, organisational, or professional purchases.

Where the account is created, purchased, or managed on behalf of a school, company, organisation, or professional activity, Academbee may treat the subscription as a business or professional subscription unless mandatory law requires otherwise.

The commercial no-discretionary-refund policy applies to business and professional subscriptions to the fullest extent permitted by law.


22. Changes to this policy

Academbee may update this policy from time to time.

If we make material changes, we may notify affected customers by email, in-app notice, or another reasonable method.

Changes will not reduce mandatory statutory rights that apply to you.

The version shown on the platform at the time of your purchase, renewal, cancellation, downgrade, or withdrawal request may be relevant to how your request is assessed.
